WhatsApp and Business Messaging Glossary
Every WhatsApp and business messaging term in plain language: WABA, BSP, Business Portfolio, templates, the 24-hour window, AI agents, and more.
Business messaging is full of similar-sounding names and acronyms. This glossary defines them in plain language, in one place. Bookmark it and come back whenever a new term shows up. Where a term has a full guide, we link to it.
24-hour customer service window
The period that opens when a customer messages your business. For 24 hours after their last message, you can reply with normal free-form messages at no charge. Once it closes, reaching them again requires an approved template. See the 24-hour window explained and the templates guide.
AI agent
Automation built on a language model that understands what a customer wrote, replies naturally, and can take actions like qualifying a lead or booking an appointment. More capable than a rule-based chatbot. See chatbot vs AI agent.
Authentication template
A template category for one-time passcodes and login verification. See template categories.
Broadcast
Sending the same message to many recipients at once. On the API this is done with approved templates and consent, not by blasting a contact list.
BSP (Business Solution Provider)
A company approved by Meta to give businesses access to the WhatsApp Business Platform plus the software to use it (inbox, automation, support). Most businesses reach the API through a BSP. See what a BSP is.
Business phone number
The actual WhatsApp line customers message. It lives inside a WhatsApp Business Account, which can hold more than one number. See where each name appears.
Chatbot
Automation that follows fixed rules, menus, and keywords. Good for simple, predictable tasks; limited when conversations go off-script. Compare with the AI agent.
Click-to-WhatsApp
Buttons, links, or ads that open a WhatsApp chat with your business. Often used in ads and on websites to start conversations.
Cloud API
The version of the WhatsApp Business Platform hosted by Meta in the cloud. It is the standard option today and requires no servers of your own, unlike the older On-Premises API.
Coexistence
A feature that lets a business use the WhatsApp Business app and the API on the same phone number, easing the move from one to the other. See WhatsApp Coexistence.
Display name
The business name customers see in the chat, set per phone number and subject to Meta approval.
Free-form message
Any normal, non-template message. Free to send inside an open 24-hour window; not allowed outside it.
Handoff
The moment automation passes a conversation to a human agent. A clean handoff is a mark of a well-built AI agent.
Instagram Messaging API
The interface that lets software send and automate Instagram direct messages, similar in spirit to the WhatsApp API. See Instagram DM automation.
Marketing template
A template category for promotional messages: offers, launches, re-engagement. The most rule-bound and typically the most expensive. See template categories.
Message template
A pre-written, pre-approved message format used to start a conversation or to reach someone outside the 24-hour window. Categorized as marketing, utility, or authentication. See the templates guide.
Meta Business Agent
Meta's own AI assistant for businesses, announced in 2026. For WhatsApp, the self-serve version is set up inside the WhatsApp Business app. It is new and still expanding, so capabilities and availability keep changing. See WhatsApp Coexistence and chatbot vs AI agent.
Meta Business Portfolio
The top-level account that holds your business assets: Facebook Page, Instagram, ad accounts, and your WhatsApp Business Account. Formerly called Business Manager. See why the name changed.
Meta Business Suite
The dashboard you log into to manage your business assets day to day (messages, posts, insights, settings). The control panel for your Business Portfolio.
Official Business Account
A verified status shown by a green checkmark next to your business name. A trust signal granted on brand notability, not a requirement to operate.
On-Premises API
The older version of the WhatsApp Business Platform that businesses hosted on their own servers. Being phased out in favor of the Cloud API.
Opt-in
A customer's explicit permission to receive messages from your business. Required to message people compliantly and to protect your quality rating.
Omnichannel
Running one connected conversation across multiple channels (WhatsApp, Instagram, web chat) so the customer experience and your records stay unified.
Quality rating
Meta's score for a phone number, based on how customers react to its messages. Low quality can reduce your messaging limits.
Messaging limits
The cap on how many customers you can message in a period, which rises as you send good, well-received messages and can fall if quality drops.
Session message
Another name for a free-form message sent inside the 24-hour window.
Template categories
The three types of template: marketing, utility, and authentication. The category affects what you may send and what it costs. See pricing.
Utility template
A template category for messages tied to an action the customer took: order confirmations, reminders, shipping updates. Free inside an open 24-hour window.
WABA
Short for WhatsApp Business Account.
wa.me link
A short link (wa.me/yournumber) that opens a WhatsApp chat with your business. A simple form of Click-to-WhatsApp.
Webhook
A technical connection that lets WhatsApp notify your software in real time when a message arrives. Handled by your BSP; you do not manage it yourself.
WhatsApp Business account (WABA)
The WhatsApp-specific container inside your Meta Business Portfolio. It holds your templates, settings, and phone numbers. See what a WABA is.
WhatsApp Business app
The free app you download and run on a phone, replying to customers by hand. Best for solo owners and tiny teams. Compare with the API in this guide.
